Your role & responsibilities

Your responsibilities will include, but are not limited to:

Admin tasks (60%)

  • Perform office opening/closing duties and welcome visitors.
  • Ensure meeting rooms are clean and equipment (lights, AC) is ready for use.
  • Monitor and order office supplies, stationery, drinking water, and daily dinner.
  • Manage incoming and outgoing domestic and international mail and shipments.
  • Contact and coordinate with vendors for office maintenance and equipment repairs.
  • Update asset management systems for new hires, departures, and handovers.
  • Issue, retrieve, and track staff/guest access cards and account keys.

 

HR tasks (40%)

  • Prepare workstations, equipment, and welcome kits for the onboarding process.
  • Execute the offboarding process, including equipment retrieval and clearance forms.
  • Assist employees with health insurance (PTI) claim procedures and inquiries.
  • Book flights and hotels, and assist with visa processing for business trips.
  • Support the planning and execution of company events, meetings, and training.
  • Maintain and update the company’s Organizational Chart.
  • Collect invoices, track expenses, and prepare monthly claim reports.
  • Draft, print, and archive contracts, quotations, and administrative documents.
  • Perform other ad-hoc tasks as assigned by the Human Resources Manager.

Your skills & qualifications

  • University/College degree with at least 1 year of experience in Office Admin, Reception, or HR Assistant roles.

  • Meticulous attention to detail with a high sense of honesty and responsibility.

  • Highly reliable and punctual to ensure smooth daily office operations.
  • Ability to work independently, self-motivated, and eager to learn new skills.
  • Available to start working immediately.
